The Abingdon & Oxford Anglers Alliance understand that we have a responsibility to protect and respect your privacy and look after your personal data so in line with the new GDPR we have set up our new policy as below.

Why do we process personal data?

Data protection laws state that we are only able to process personal data if we have valid reasons to do so. The basis for processing your personal data includes, but is not limited to;

  • To provide the service of purchasing memberships and any other relevant services that may be offered via our website. 
  • To process the sale of memberships and any reimbursements
  • To make contact regarding any matters that may arise or for any promotion relevant to the Alliance.
  • To showcase any relevant catch reports and images.

What Type of Data do we collect?

We only collect basic personal data from you which may include;

  • Name and address.
  • Phone number.
  • Email address.
  • IP provider address.
  • Payment information?
  • Photographs & catch reports

How do we collect your data?

Personal data is collected when members and prospective members:

  • Make enquiries by phone, email or through the website.
  • Make payments through the website.
  • Send in catch reports and photos via email or our social media.
  • Provide membership information details.

How do we use your data?

We use information about you to;

  • Provide you with products and services primarily memberships/permits.
  • Respond to your enquiries or any matters (including complaints) arising via email 
  • Keep track of payments and issue refunds.
  • Manage and promote our waters by way of sending out important information, uploading images and catch reports to our website
  • Provide you with information about any changes relating to any Alliance waters with regards to water closure, matches, rule changes and work parties.

Media

All media uploaded to the website is collected by means of email or social media and held for the relevant retention period. No media is collected via this website.

Who we share your data with

We do not sell or share your data with any third party. Relevant data will be shared with club officers and bailiffs in order to carry out their duty on behalf of the Alliance

How long we retain your data

Your data is only kept as long as it is needed for admin purposes or if required by law. 

Generally, any relevant data will be removed if you do not renew membership or for up to 15 months whichever is sooner. By your request, we can remove any data kept and this will be done within one month of the request. 

Detailed data retention periods:

  • Data collected for membership – On non-renewal of membership or 15 months, whichever is sooner. This is retained for longer than the running membership in order to communicate our renewal process.
  • Banned members – Up to 50 years (for the purpose of a ban only names will be kept. All other personal information will be removed within the relevant time frames).
  • Images and catch reports; indefinitely unless otherwise requested to be removed. 
  • Guest tickets – 6 months unless otherwise instructed to remove prior to the date. 
  • Any data collected from non-members will be retained for the purpose of completing any relevant enquiry. Data will be removed once an enquiry is completed. 

How we protect your data

 

Your Data, Your Rights…

You can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. Any removed date may affect any communication that is needed about the Alliance, events and any important information specific to rules and closures. 

Your contact information

Your contact information is held by admin and our bailiffs for the purpose of important communication and for bailiffs to carry out their duty on our waters. Your contact information will never be shared with any third party.

What data breach procedures we have in place

In the event of a data breach, we are obligated to ensure that we act accordingly under data protection laws. 

What third parties we receive data from.

We only receive third party data relevant to the process of purchasing our membership or products.  This will aid the Alliance should any refund process need to be carried out or any financial correction is needed. We do not hold/store any financial or payment data on our electrical systems or by way of hard copy.

What automated decision making and/or profiling we do with user data

This does not take place with any content used on the website.

Changes to our privacy policy

The Abingdon & Oxford Anglers Alliance reserve the right to amend our policy at any point without notice. Any part of the policy that changes the way we use your data will be made available on the website or informed via email.
